1.1 Voice AI Conversations (AiA Diagnostic Calls)
When you call our phone line or initiate a voice conversation through our website, you interact with AiA, our AI-powered diagnostic agent. We may collect your name, company name, email address, phone number, a full conversation transcript, business information you share (industry, team size, pain points, budget range), call metadata (duration, timestamp, diagnostic track recommendation), and AI-generated analysis of the conversation.
1.2 Website Forms & Contact Submissions
When you submit a contact form, request an upgrade assessment, or book a strategy call, we collect the information you provide: name, email, company name, phone number, and business needs.
1.3 Automatically Collected Data
When you visit our website, we collect IP address, browser type, operating system, device information, pages visited, time spent, referral source, navigation patterns, and interaction events.
1.4 Scheduling & Booking Data
When you book a strategy call, we receive your name, email, selected time slot, and any notes you include.
2. How We Use Your Information
We use collected information to: respond to inquiries and assess engagement fit, deliver AI integration and managed automation services, generate post-call intelligence briefings, improve our AI systems and service quality, send operational updates and service communications, and comply with legal obligations.
3. Third-Party Services
AiiACo uses the following third-party services: ElevenLabs (voice AI processing), Calendly (appointment scheduling), Resend (email delivery), Telnyx (SMS and voice), Umami (privacy-focused website analytics), and Stripe (payment processing). Each service processes data according to their own privacy policies.
4. Data Retention & Security
Voice conversation transcripts are retained for 24 months. Contact form submissions are retained for the duration of the business relationship plus 12 months. Website analytics data is retained for 26 months. All data is encrypted in transit (TLS 1.2+) and at rest (AES-256).
5. Your Rights (CCPA / GDPR)
You have the right to: access the personal information we hold about you, request deletion of your personal information, opt out of the sale of personal information (AiiACo does not sell personal information), request correction of inaccurate data, and data portability. 6. Cookies
AiiACo uses essential cookies for site functionality and analytics cookies (Umami) for privacy-focused usage tracking. We do not use advertising cookies or cross-site tracking. You can manage cookie preferences through your browser settings.
